MS Excel, Menus and Icons and Commands under File Menu

 


Viewers in our previous articles we had discussed about the introduction and basics of MS Excel. It is hoped that you must have read and understood that articles completely. Now we are going forward to illustrate the menus and icons of MS Excel. After launching of MS Office version of 2007 and later versions, the shapes and operating procedures of MS Office have changed, and it can be used easily and in friendly environment. Accordingly, themes and procedure of MS Excel have also been changed and mostly different than former versions of MS Office. However, to manage a standard for better understanding we shall follow here to MS Excel of Office 2010.

As already discussed that themes and procedure after 2007 and latest versions have changed accordingly, icons and menu have been changed and icons have been merged with file menu. Before 2007 versions, we had to place icons and icon bar as per our requirements on toolbars below the file menus; however, after 2007 icons have been placed by default in every menu. In MS Excel 2010, following are the menus:-

File

Home

Page Layout

Formulas

Data

Review

View

File Menu. Following commands and actions fall under File Menu

Save.  Save button is used to save the recent actions and files updated during your work. It also works by pressing (Ctrl + S) or save button shown on access tool bar on the top of MS Excel File

Save As. Save As button is used to save another copy of your file or save new file with different formats and the location as designated by the user. It also works by pressing (F12) or (Alt + F + A). After Commanding “Save As” following window will be opened from where file can be saved with different options and types.


Open.  Open button is used to open existing MS Excel file held in your computer. Short command of this action is (Ctrl + O) or (Alt + F + O).  After Commanding Open Button following window will be opened from which MS Excel file existing in computer can be opened.



Close. Close button is used to close the current file in which work is being execute. It also works by pressing (Ctrl + W) or (Alt + F + C).

Recent.  Recent button is opened to use open files, which have been recently used.  In MS Excel 2010, recently used folders from which MS Excel files were opened are also shown for ease of the users. Following window will be used to open command recent button.



 New.  New Command is executed to open new file in different formats as per requirements of users. In MS Excel 2010, some templates of MS Excel have been provided for easiness of the users so that, the users can work in desired template after creating the required template without loosing time. It also works by pressing (Ctrl + N) but, by pressing (Ctrl + N) blank MS Excel File in default will be opened without any template. Command “New” can also be executed by pressing (Alt + F + N). Following window will be opened after pressing button New.



Print.   Print button is used to print documents on papers from the printers installed on computer or in other digital format. Short key of this command is (Ctrl + P) or (Alt + F  + P). Following window will be opened after pressing “Print Command”:-



Save and Send.         Save and Send command is used to send files via email after saving it in existing format or any other format. Following window will be opened to click save and send command:-



Help. Help is pressing for seeking assistance from MS Excel Office via offline office assistance or online office assistance.

Options.         Options button is used to change the functionality and existing options in MS Excel. Following window will be opened after pressing options button.

 


Exit. Exit Button is used to close MS Excel Program. Short key of this command (Alt + F4) or (Alt + F + X).
